Accounting Clerk/Accounts Receivable

Salary: $17.00 /hour

Mary Lee Foundation is looking for a Billing Specialist to provide complete responsibility for all Accounts Receivable functions of Mary Lee Foundation including billing and invoicing. This candidate will adhere to all policies, procedures, and standards of protocol of the Mary Lee Foundation and applicable outside agencies.


Accounts Receivable:

· Prepares/post daily A/R, donations, miscellaneous deposits into QuickBooks

· Reconcile 400+ client A/R accounts in QuickBooks

· Review and prepare A/R discrepancy reports to programs

· Liaise with program staff to resolve discrepancies and outstanding A/R balances

· Prepare and recommended adjustments and write-offs

· Update A/R Excel spreadsheet weekly

· Check various website for status of payments

· Research and ensure receipt of payment reports

· Assist with year-end audit A/R

· Maintain record of tenant security deposits

Invoicing and Billing:

· Post invoices for four companies with approximately 400+ clients into QuickBooks

· Prepare monthly rent rolls in Excel and update weekly for payments and adjustments

· Review expenses and prepare invoices to tenants

· Prepare and send monthly invoices specific to our various programs

· Gather billable hours from Excel and/or WebPT

· Monthly medical insurance billing in Therabill

· Weekly and monthly state agency billing for various programs


· Updates Cash Flow spreadsheet on a daily basis

· Prepare documentation for weekly meetings

· Cost Report preparation

· Cross train with other bookkeeping staff and fill in when necessary

· Phone coverage

· Other duties and special projects as assigned

Knowledge, Skills and Abilities:

· Must have knowledge of general accounting principals

· Must be proficient with QuickBooks (You will be tested)

· Must be proficient with Excel (You will be tested) and other Microsoft Office applications

· Strong organizational skills, ability to prioritize, and a high attention to detail

· Strong interpersonal, written, and verbal communication skills

· Demonstrated ability to maintain a high level of confidentiality


· High School Diploma or equivalent; Bachelor’s in accounting/finance is preferred

· Must have no bars to employment pursuant to Health & Safety Code §250.006

· Must have no bars to employment pursuant to Texas Administrative Code, Title 40, Part 1, Chapter 3, §3.201 Texas Health and Safety Code

· Name must not appear on either the Texas or Federal Office of Inspector General’s Exclusions List

· Must be physically able to perform the duties of the position, including, but not limited to; lifting/carrying at least 50 lbs. (depending on assignment requirements), climbing stairs, bending, stooping, and driving.
